Optimization of the Ivalua System at Tchibo.

Tchibo Germany has been working with Ivalua since 2023 and uses the Supplier Management module including Supplier Risk & Performance. In this project, we supported Tchibo in further expanding the system and creating additional added value for the purchasing department.

2 Project Presentation

2.1 Introducing Tchibo

Tchibo GmbH was founded in Hamburg in 1949 and has been writing a unique success story ever since. Known primarily for coffee, the company now has over 900 stores, more than 24,000 depots and national online stores in eight countries. Coffee is still the central factor here: Tchibo is the roasted coffee market leader in Germany, Austria, the Czech Republic and Hungary and exports its coffee to around 40 countries. In addition to coffee, the company also offers a changing range of non-food products and various services and is one of the leading e-commerce providers in Europe.

2.2 Projects & goals

Tchibo Germany has been working with Ivalua since 2023 and uses the Supplier Management module including Supplier Risk & Performance Management as well as the sourcing and eProcurement solution. It was previously using version 174, which was now to be upgraded to version 180. Tchibo used this opportunity to invite tenders for a comprehensive modernization of the Ivalua solution and to look for a long-term, trustworthy partner to support Ivalua. In addition to a partner to provide the implementation services for Ivalua’s version 180 in order to optimize and expand the SaaS platform used at Tchibo, the following values were particularly important to Tchibo in its future partner: integrity, flexibility, trust and reliability.

2.3 Solution & implementation

Among many applicants, jupitos was able to convince those responsible at Tchibo and win the project for itself – the trusting interaction in the discussions, the team’s expertise and the great understanding of the needs of the industry and the challenges of customer processes were decisive for the choice of jupitos.

After the development of a joint project plan and several meetings on site at Tchibo’s headquarters in Hamburg, the implementation of the project began. The planned modernizations were developed and implemented in regular exchanges. First, the upgrade from version 174 to version 180 was successfully completed and several new enhancement functions were added, which in particular further advanced the automation of the procurement process.

In the second step, the implementation and integration of the desired interfaces began. First, the interface for the comprehensive evaluation of the sustainability performance of Tchibo’s supply chains was implemented. To do this, jupitos was able to use the Ivalua standard EAI functions and integrate them into Tchibo’s system.

A customized interface will also be developed and integrated in the future to automatically load supplier creditworthiness data into the system. This will significantly strengthen supplier risk management, as manual checking processes will be largely eliminated and replaced by automated processes.

2.4 Conclusion

Tchibo and jupitos have successfully implemented the first phases of modernization and expanded the Ivalua solution within the company in a meaningful way. By upgrading to Ivalua version 180, creating the interface for evaluating sustainability performance and integrating additional functions, Tchibo’s processes were optimized in a targeted manner and further processes were automated.

In the future, the solution will also be expanded to include an interface to the credit rating database. Tchibo can thus further increase efficiency within the company, relieve employees of repetitive tasks and significantly strengthen supplier risk management. For Tchibo and jupitos, this was just the start of a long-term partnership. jupitos will continue to act as a consultant beyond these topics and continuously optimize and modernize Tchibo’s Ivalua solution.

3 Added Value

3.1 Improving supplier management

The integration of third-party applications enables a more comprehensive and automated assessment of supplier risk management with regard to sustainability and creditworthiness. This reduces the need for manual checks.

3.2 Optimization of purchasing processes

The adaptation and expansion of modules, such as Guided Buying, optimizes the purchasing process. This increases user-friendliness and makes purchasing more efficient and targeted.

3.3 Sustainability and transparency

Tchibo uses the interface to improve transparency in the supply chain, particularly in the area of sustainability. This helps to further strengthen corporate responsibility and make it visible to the outside world.

3.4 Future-proof technologies

The integration with SAP S/4 not only makes the system more secure, but also easier to integrate into existing and future IT landscapes, which increases long-term flexibility and scalability.

3.5 Increased efficiency through automation

The upgrade to Ivalua Version 180 and the introduction of new automation functions reduce manual processes. This saves time and allows employees to concentrate on value-adding tasks.
